Outlook & Exchange FAQ's
What is Exchange?
Exchange is a popular Microsoft messaging system that includes a mail server, and an e-mail program (e-mail client). Designed for use in a business setting, the Exchange server is often used in conjunction with Microsoft Outlook to take advantage of Outlook's collaborative features, such as the ability to share calendars and contact lists.
Why are we changing to Outlook from GroupWise?
Two key issues are greater functionality and ease of use. In addition to the features that are native to Outlook, many more 3rd party products are available for and compatible with Outlook than GroupWise.
What are the advantages, and are there any disadvantages to this move?
Some specific advantages are the ability to:
- Send and receive meeting requests with any other Outlook users, such as faculty and administrators at other institutions.
- Many Colleges either use or have email systems that are compatible with Exchange/Outlook than GroupWise.
The primary disadvantages are those related to change in general. While many in our community are familiar with Outlook, there will be a learning curve for those that are not. Additionally, some settings in GroupWise (such as rules that automatically move specific types of messages to a designated folder), cannot be imported from GroupWise into Exchange/Outlook. These settings will need to be recreated in the new system. Training or assistance from OIT will be available to ensure that you are able to recreate all of these settings.
What's the difference between Outlook and Exchange, and why do I sometimes hear them used interchangeably?
Microsoft Exchange is the email and calendaring system, and includes the components that send, receive and store email and calendar data. Microsoft Outlook is the email/calendaring client that is most often used on the computer to access the Exchange system. Exchange is also accessible through a web client (allowing access through a web browser such as Internet Explorer) that is extremely similar to Outlook in appearance and functionality.
What E-mail clients will be supported?
The College Exchange e-mail system will support the Microsoft Outlook client, web based access via Outlook Web Access (OWA) and the Macintosh Entourage client.
How will I access the College’s E-mail System via the web?
The URL for web based access is: http://webmail.valenciacc.edu
What will my e-mail address be in the new E-mail system?
Your e-mail address will not change. The default e-mail address is yourusername@valenciacc.edu
What is the size and time limits of my Mailbox?
The Mailbox size for all Outlook accounts will be 500 megabytes and a maximum time limit of 18 months.
- All users will start with a new or “clean” Outlook mailbox and will have a storage limit for saving email(and attachments)/calendar/notes/task of 500 megabytes.
- All users will have a limit of 18 months for keeping email(and attachments)/calendar/notes/task in their online Outlook mailbox.
When any items within Outlook reach these limits, they will be purged from the system and be un-recoverable.
How much space will I have for email in the new system?
All users will have a maximum online storage for all Outlook items of 500 megabytes.
How long will my email be retained in the new system?
All users will have a maximum time frame of 18 months to keep Outlook items online.
What can I expect to be migrated?
- Mail Messages – All GroupWise messages will be migrated to an Outlook PST with the exception of the Trash, Sent Items and the Junk Mail folders.
- No email will be migrated to the Outlook mailbox, you will start with a “clean” mailbox
- All GroupWise email will be migrated to an Outlook PST file.
- Calendar Items & Notes – All calendar items will be migrated; however, recurring calendar items (calendar items created by using the Auto Date in GroupWise) will be stored as multiple appointments.
- Outlook uses a feature called Recurrence which handles creating appointments on multiple days.
- Personal Address Book and Frequent Contacts – All contacts and personal address lists that you have saved in your personal address book will be migrated. Frequent Contacts, which are typically automatically stored whenever you send or receive an e-mail, will not be migrated.
- Please note that most personal address lists contain the internal GroupWise address for GroupWise users and will have to be recreated within the Outlook email system.
- Notes and Tasks – All notes and tasks will migrate.
What is an Outlook PST file?
- .pst, which stands for Personal Storage Table is a filename extension associated with Personal Folders files used with the Outlook Client. Personal Folders (.pst) files are used to store messages, calendar events, and other items within the Microsoft Outlook Client.
What will not be migrated?
- Rules in GroupWise need to be recreated in Exchange. The Outlook Client handles these in a different format that is not compatible with GroupWise. The “function” of Rules still apply, but they are created differently within the Outlook Client.
How do I backup my e-mails?
The Exchange backup is similar to the GroupWise backup and is for the purpose of disaster recovery only. Email deleted and emptied from Exchange will be unrecoverable. The definition of disaster recovery: The process whereby an enterprise would restore any loss of data in the event of fire, vandalism, natural disaster, or server hardware failure.
Do I need my computer on during the Exchange migration?
NO. Clients must be logged out of GroupWise completely on their local machines, terminal servers(if any), and webmail.
Can I choose to continue using GroupWise?
No. All Valencia Community College Faculty and Staff are required to convert to Outlook.
What should I do in preparation for Email migration?
- Review your GroupWise e-mail you have saved in your mailbox and all other GroupWise folders. Delete those that are no longer needed. This is a good opportunity to optimize your email cabinet.
- Review all of the e-mail attachments that you have in your GroupWise mailbox. Eliminate any unnecessary attachments.
- Review your personal GroupWise address book and eliminate addresses that you no longer use.
- Review the Frequent Contacts file in your GroupWise address book and move those you want to keep into your personal address book. Items in Frequent Contacts will NOT be moved to Outlook.
- Document the GroupWise rules that you are currently using. These rules will NOT be automatically copied into Outlook. Outlook’s “Out of Office” utility will replace the GroupWise vacation/out of office rules.
- Shared calendars: While your calendar information will be transferred into Outlook, information about those who you allow to view your calendar will not be transferred. You will need to re-establish your calendar sharing protocols.
When cleaning up my inbox what volume of mail is large volume?
When cleaning up your inbox before migration, look for e-mails that contain attached items that are no longer necessary. Attachments take up more space on the server than general e-mails.
Do I have a new login and password in Outlook or do I just use my old GroupWise login and password?
No. To log into Outlook you will use the same username and password as you do for GroupWise.
