This list of frequently asked questions is a collection of inquiries expressed by parents and students throughout the years. In a collaborative effort of staff, administrators, and faculty, they were designed for the student to learn more about the processes in the Business Office. We trust this list will respond to your needs and avoid your having to wait in long lines at the college. We wish you the best of success in your journey through Valencia Community College.

Payment Questions

Please note: If there is any balance remaining on your account, after the last day to pay, and arrangements have not been made to defer your fees, you may be deleted from ALL registered course work.

  1. When is the last day to pay for classes?

    Refer to the current Payment/Refund Dates in the course schedule and our website http://valenciacc.edu/finanserv/dates.asp for the last day to pay. You may pay through your Atlas account.
     
  2. How can I pay for classes?

    You can:
    • Access your Atlas account through the internet: http://atlas.valenciacc.edu Log into Atlas. Click on "Student Services"; Click on "Account Summary and Tuition Payment Options"; Click on "Submit your Credit Card Payment Online" or "Sign up for a TIP Payment Plan."
    • Mail your payment to address: Post Office Box 4913, Orlando, Florida 32802. Make sure it will be received (not postmarked) prior to the last day to pay.
    • Pay in person at any of the Business Office locations. Our drop box can be used for after hours payments.
       
  3. Where can I find out how much money I owe the college?

    You can get that information on your Atlas account. http://atlas.valenciacc.edu
     
  4.  I'm a parent and I want to pay for my child's classes before he/she loses them. However, I don't know his/her student identification number. How can I pay?

    Payment is the responsibility of the student. Due to federal regulation, the college is unable to release information without the students' permission. For further details, click on the following link: http://www.ed.gov/offices/OM/fpco/ferpa/

    The student can come into any campus Business Office and we can look up the student's identification number by name and birth date

    OR

    The student can login with his/her password to pay on his/her Atlas account on the internet.
     
  5.  I know my tuition check has been returned, and I want to pay my tuition now so I will not lose my classes (Valencia shows no record of this check being returned).

    Wait for notification from Valencia before you proceed to pay for your classes. Checks are automatically redeposited by our bank. If the check is returned to us, we will void the initial payment and send you notification of when the account must be settled. There will be an additional charge for the returned check added to your account, and you must pay either by credit card or cash. No personal checks will be accepted for payment of this debt.
     
  6. What is the last day for me to drop classes and get a 100% refund?

  7. I registered for classes on the Internet and the charges are too high. Why?

    In-state fees are $69.69 per credit hour and the out of state fees are $261.95 per credit hour. Any special fees associated with a class are designated by the department and the amount is listed in the college catalog by the course description. You can learn more about the fee schedule by clicking on the following link. http://valenciacc.edu/finanserv/fees.asp If you are attempting a class for the third time, you could be getting charged the full cost of instruction. If residency is your problem, you must visit your campus records office for clarification.
     
  8. Why do I have to pay a Financial Aid fee if I don't get Financial Aid?

    All students pay these fees. They are mandated by the State of Florida legislature. Go to http://www.leg.state.fl.us/statutes. Title XLVIII Chapter 1009-23. See #8A (Financial Aid).
     
  9. Why do I have to pay Student Activities fees? I don't participate in any clubs.

  10. What forms of payment are acceptable for payment of classes?

    Valencia Community College accepts cash, American Express, Discover, MasterCard, Visa, money orders and personal checks. Checks must be made payable to Valencia Community College.
     
  11. My employer wants to pay for my classes. What do I need to do?

    If all or part of your tuition is being paid by an approved external agency (ex. Vocational Rehabilitation or Workforce of Central Florida), you must present your current term form of authorization (letter, voucher, etc) within the payment timeframe (see Payments and Refund Dates at http://valenciacc.edu/finanserv/dates.asp). If your employer is not an approved agency, they will need to contact Valencia's accounts receivable department to set up an agreement.
     
  12. Can I leave my payment through the night deposit drop box and still be on time?

    Yes, if the payment is placed in the drop box on or before the payment due date deadline and before the end of the business day. Refer to the Business Office hours of operation at your campus.
     
  13. If I register late, what is the charge?

    The late fee charge of $25.00 is charged if you initially register, re-register due to course deletion, or add a new class to your schedule during late registration.
     
  14. My employer needs a detailed receipt of classes paid. Where can I get one?

    It can be requested through any campus Business Office.

Third Party Payments
  1. I have Florida Pre Paid College Plan. What do I have to do?

    The Florida Pre Paid College Plan will cover your fees automatically. After registering for classes, please check your Atlas account to ensure that the charges were covered by the Plan.  If not, please visit the Business Office. Your fees will be credited automatically. Call 1-800-552-4723 for more information or visit their website at http://www.fsba.state.fl.us/prepaid/
     
  2. If I have Florida Pre Paid, why do I have to pay anything?

    The first plans issued for Florida Pre-Paid did not cover the student activity fee which is $5.63 per credit hour nor did it cover any special fees. If you have any question regarding your Florida Prepaid program, contact 1-800-552-4723 or you may visit their website at http://www.fsba.state.fl.us/prepaid/
     
  3. Vocational Rehabilitation is paying for my classes. What do I need to do?

    Your counselor should submit your authorization form to Valencia's accounts receivable department to credit your account. Check the account balance page of your Atlas account to ensure proper credit has been given. You may also visit the Business Office at any campus.

Holds
  1. My records have a hold that prevents me from registering. I want to go back to school and register. What do I need to do?

    On your Atlas account, you can view the description of any holds that you may have. Contact the originating office that placed the hold and speak with them directly. However, you must settle any financial obligations before you will be allowed to register. You can pay online via your Atlas account if your account has not be submitted to a collection agency. If your account has been submitted, you would need to pay the collection agency directly.
     
  2. Will my hold be removed if I pay my debt through Atlas?

    Financial related holds are removed from your account over night by paying online through your Atlas account. However, you may also email the Business Office at businessoffice@valenciacc.edu (Please be sure to include your student identification number in your e-mail) or visit your campus Business Office to have the hold removed from your account.

Refunds

  1. When can I expect a refund if I dropped my course/s on or before the deadline?

    Please verify your address in your Atlas account or with the Answer Center. If payment was made in cash, check, money order, or credit card, the student will be refunded by check. Refer to the current class schedule or visit our website http://valenciacc.edu/finanserv/dates.asp for anticipated refund dates.
     
  2. Do I receive a refund when I withdraw from a course?

    No, to receive a refund you must drop your course/s on or before the advertised add/drop deadline. If you withdraw from a class you are still responsible for any amount due on your account.

1098-T Tuition Payment Statement Questions
  1.  What is the 1098-T Tuition Payment Statement?

    This form breaks down your payments for tuition during the calendar year and can be useful for your tax preparation.
     
  2.  When will I receive the 1098-T Tuition Payments Statement?

    It will be mailed to the address you have on file at the college annually on or before January 31st.
     
  3. I did not receive the 1098-T. Will you reissue it?

    The 1098-T form can only be reissued during the current year. You must request one in your campus Business Office.
     
  4. Am I eligible to receive the Hope credit or Lifetime Learning credit?

    Contact your tax professional or IRS. Or visit this website http://www.ed.gov/inits/hope/ for more information.

Please note: You are responsible for payment for all classes not dropped from your schedule by the Drop/Refund Deadline listed in the Important College Calendar Dates section of the catalog and in the Credit Class Schedule. Non-attendance in any course(s) will not qualify you for a waiver of your financial responsibility for the course(s).  If you do not pay by the specified date and time, you may lose all of your classes. It is your responsibility to review your account with the college.
