We Need Your Help with the Part-time Hourly Time Sheets (Form HR-28)

As Valencia grows, so does the amount of paperwork submitted and processed every pay period. The Payroll Dept would appreciate your efforts in correcting the increasing problems we are having with the hourly time sheets submitted to our department. Correcting these errors is very time consuming. Here are some things you can do to help:

. Please follow the Hourly Part-time & Student Time Sheet Schedule reporting hours worked for the periods on this schedule.
. Verify that the correct budget number is recorded and the correct GL Code is checked.
. Make sure the top portion of the time sheet is completed, hourly rate, hours worked, daily line total is correct, total dollar amount due employee, etc.
. If the employee is entitled to Shift Differential, Parking or Overtime, please record those hours in the proper section.
. When an employee works over 29 hours, make sure an Exception Form has been completed and approved prior to the employee exceeding the 29 hour limit. Attach the form as backup to the time sheet.
. Employees working more than a 6-hour work day are required to take at least a half hour meal break.
. If an employee works in more than one department, supervisors should verify that there are no overlapping hours being reported on either time sheet.
. Verify the hours recorded on each timesheet.
. Make sure the time sheet is signed by the employee and approved by the supervisor.
. Please make sure the timesheet is legible.
. Make sure timesheets are submitted by the due dates on the schedule. Employees will not get paid on time if time sheets are submitted late.

. Form (FA-63) Part-time Work over 29 Hours is on the Valencia Home Page under Valencia Forms Online.

Heartfelt thanks from a student.

I left Ocean Springs, Mississippi the day before Hurricane Katrina hit. I thought I would be returning home in a few days to clean up the mess, get back to school and work and move into my apartment on September 2. I put what I could in my car along with my two Labs and headed to my parent's in Windermere.

Nothing could have prepared me or anyone else for the devastation that occurred there. I lost everything except for what I had in the car and I was one of the lucky ones. There aren't any words to express my gratitude to everyone at Valencia who have come together and shown me such support. I most certainly didn't expect the response that Molly Morrow received about my situation.

I am settling into my new apartment now with my dogs, and starting to get into a routine. Thank you doesn't seem nearly enough for everyone at Valencia but I am saying it anyway for trying to give me back some sense of normalcy. Maddie and Max (my Labrador girls) also say thanks for all the things that were sent for them as well.
Never in my wildest dreams could I have imagined the overwhelming support that the Valencia faculty and students have given me and still continue to do so. I am so grateful and appreciate everything more than I can express.

Dr. Anthony Easley, thank you so much for managing to squeeze me in even though classes had started. I so did not want to miss a semester.

Molly, God must have sent you to me because you are surely a guardian angel for me. You still make me weep when I think of all you have done! Thank you so much!

Victor Collazo, thank you for everything you have done for me as well as other hurricane Katrina victims. There isn't anyway I could have moved all the donated furniture myself.

Quick and Easy Reference/Resource

Ever wanted a personal librarian to sift through the mountains of information on your discipline, pick out the best articles to read, and have them a mouse-click away? The good news is that Reference Librarian Judi Delisle has done this for you. Judi has created a searchable, on-line database with links to the best articles on critical thinking and creative thinking. These bibliographies are arranged by subject matter/discipline so they are easy to use.

If you are interested in how technology can be used in developmental math to stimulate critical thinking, you can find it there. Possibly, you want to know why students who are already good critical thinkers rate highly the lecture method used in their political science classes, or perhaps you would like to know why using an Observational Diary in Introduction to Psychology increases students' mastery of the curriculum. Maybe you are interested, too, in how your colleagues deal with critical thinking in their classrooms.

Please Help our Career Service Staff celebrate!

Administrators, professional staff, and faculty are urged to support Valencia's career service employees by providing phone and office coverage on Friday, October 28, during the annual Career Staff Fall Recognition Reception (the 70's Ice Cream Social). This event will be held 3:00 - 4:30 p.m. on East Campus to honor all Career Service Staff who have achieved 5 years of full-time service at Valencia. All full-time and part-time career service staff are invited to attend. Please RSVP by October 21 to College & Community Relations, ext. 3122.

Please also note that East Campus Cafeteria will be closed on Friday, October 28 at noon due to the Career Staff Fall Recognition Reception. Limited food service will be provided for students and staff in the mall area from noon until 2:30 p.m. We apologize for any inconvenience this may cause as we recognize and thank career service staff.

AtD needs you!

WANTED: Faculty, advisors, and staff who are interested in participating on work teams for Achieving the Dream (AtD). AtD is a college initiative currently supported by the Lumina Foundation, aimed at improving student performance and closing the achievement gaps across diverse populations.

This "inspirational summit" is meant to gather interested faculty, advisors, and staff to "kick-off" the work teams that will be associated with closing the gap. Join the Team of Adventurers who have participated in Valencia's Focus on the Workplace Program

Applications are being accepted to participate in Spring Term and Summer Term A 2006. This exciting program enables you to spend time out in business and industry so you can learn more about the "corporate culture" - how employees are expected to communicate, perform, and work together, as well as exciting employment opportunities and career paths available for students.

All full-time, tenure or tenure-track faculty, full-time counselors & advisors and professional staff are eligible to apply with your supervisor's approval. Eligible faculty are released from two 3 credit hour classes to participate. Advisors/counselors and professional staff are released for 40-80 hours (one-two weeks) and can participate any time during the year.

Suggestions, Comments, or Thoughts? Help us help you! We need your input to help us become aware of any issues that you may be having with acquiring the goods and services that you need. Let us know where you are having any difficulties and we will take a look to see if modifications/adjustments can be made or if another process would make better business sense. Vendor Profile & W-9: A Vendor Business Profile & W-9 form is needed for any vendor or person that wants to do business with the College. The information provided on these two forms is entered into our Oracle database. Checks from the College to a vendor can not be issued without these required forms. The W-9 form is an IRS requirement. Suppliers are set up based on their reporting name to the IRS. Some suppliers are difficult to find because of this. If you need help finding a supplier, please contact Aida González at ext. 5537.

P-Card purchases do not require vendor business profiles or W-9 forms. P-Card usage is designated for small dollar purchases and can not be used for consultants who are 1099 recipients.

The Purchasing Function: The primary function of your Procurement Department is the organization and administration of procuring goods and services for all departments of the college. In performing these services in accordance with sound and prudent business practices, college policy and Florida Statutes, Procurement seeks to meet the need the needs of the college while obtaining the maximum value for every dollar expended.

Purchasing does not consider a "low bid" the primary basis for any award. Cost is always a consideration but other factors such as quality, service, warranty and guarantees are always built into our bidding documents. We are available to assist you in developing, reviewing and evaluating specifications for all of your purchases.


Hello and Goodbye

A fond farewell and best wishes are extended to Bernadette Brunson, retiring 11/30/05.


Hiring Freeze

A hiring freeze for new full-time employees will soon be in effect. To hire an employee before the freeze becomes effective, the employee must begin work on or before November 14, 2005. After that date, recruitment activities may be conducted through Human Resources and offers of employment may be extended, but the employee may not begin work until January 9, 2006.
