Fun Facts from
Procurement
This past fiscal year, the college spent $140,000 on copy paper.
Here is a breakdown of the most heavily used paper: letter size -
white, 4980 cases, $110,256.00; assorted colors, 752 cases,
$21,058.00; legal size -white, 21 cases, $593.00; assorted colors,
13 cases, $513.00; cardstock, letter size- assorted colors, 89
cases, $2,356.00
Formal copy paper
bids are done every six months by the Procurement Department to
ensure competitive pricing. Open communication between the Copy
Centers and Procurement is ongoing as we strive to meet the demands
of the college.
The funding for
the copy paper comes from the charges your department incurs when
you send work to the copy centers or when you purchase color paper
at the copy center.
Valencia Purchasing Card Program
The intent of the procurement card program (P-Card) is to provide
departments with a streamlined method of purchasing small dollar
items, thereby reducing the volume of requisitions, purchase orders,
invoices and checks processed by Valencia staff.
The P-Card is not
intended for the casual user or for travel. In order for the P-Card
program to be successful, and generate revenue in the form of a
rebate paid to the college, the card must be issued only to those
staff that are responsible for the majority of the buying within the
individual departments. Therefore, is not advantageous to the
College to issue a P- Card to Campus Deans, Directors, Provosts and
other administrators. P-Cards need to be in the hands of business
officers and Valencia staff that are purchasing small dollar items
on a daily and or regular basis.
The P-Card is a
Master Card issued to authorized Valencia staff who have received
training on its proper use and reconciliation. The Valencia P-Card
is not a travel card and should not be used as such. The college
does offer the opportunity, for approved staff, to apply for an
American Express Travel Card. Information on the American Express
Travel card may be obtained by contacting Patty Nicholas, at ext.
3465, or e-mail
pnicholas@valenciacc.edu.
The Valencia
Purchasing Card Program has been successfully rolled out to several
college departments thus far and additional campus wide
implementations will be announced very soon. For more information
concerning the Valencia P-Card program, contact procurement at
extension 5532 or valenciaprocurement@valenciacc.edu.
