News from Procurement
The term “recycled paper”-what is it, exactly? There are three sources of fiber used in paper making: virgin fiber, which comes directly from trees; pre-consumer waste, which is waste from the paper converting process that cannot be sold and is re-used in the papermaking process; and post consumer waste, which has been printed, delivered, and then collected again from homes and businesses. Different agencies have different definitions of “recycled paper” based on percentages of the fiber from the three sources. Generally, what people mean by “recycled paper” is paper that contains post consumer waste. The procurement department is working hard to help in the process of saving trees and minimizing the use of landfills.
Independent contractor or not? The IRS is responsible for determining whether an individual who provides services to a business is an independent contractor or an employee. Although many independent contractor relationships begin at the request of the service provider, this is no guarantee the IRS will not challenge the classification. The IRS has final authority for deciding whether a worker is an independent contractor or an employee. Copier charges. The collegewide copier account pays for all leasing, service, supplies (including toner and staples), freight and first 5,000, 10,000 or 15,000 copies (depending on the unit) or pooled amount of 40,000. Numbers are based on the unit size and location. Overage is paid by departments for additional copies. Copier codes are assigned to individuals/departments to determine the amount of copies. There is NO COST for printing, faxing, scanning or e-mail. Codes are not used for these functions and are not tracked.
Banner requisitions for current students. Because of behind-the-scenes technical issues in Banner, we will no longer be creating requisitions for current students who are providing a service for the college. Starting immediately all lab techs, art models, etc., will be paid using the check request form found in Atlas under the Valencia Forms link.
West Campus Season of Giving
The West Campus Season of Giving was held this past Wednesday and was a hugh success. Events included an annual chili cook-off and for the first time, a dessert contest. Student Development sponsored a professional silhouette artist along with a magic candle art table. The 16 entries of chili were judged by everyone who paid a small fee to sample and submit their favorite choice. The 20 dessert entries were judged by Culinary Professor Ken Bourgoin and several of his students. They were then sold and all proceeds from both the chili and dessert contests went towards the Valencia Foundation Faculty and Staff Giving Campaign.
The winners of the contests were: Chili – First Place: Donna Gibson; Second Place: John Centko. Desserts – First Place: Sally Witkamp; Second Place: Jenelle Connor.
None of this would have been possible without the tremendous efforts of Mary Ellen Davies, Kim Long, Vivian Martin and all their helpers.
Full-Time Payroll Deadline Changes
Please note the updated payroll due date schedule posted on the Valencia Web site at http://www.valenciacc.edu/hr/payroll.asp. Banner processing is taking longer than expected so the due dates had to be adjusted accordingly. The new schedule begins with the 12/28/07 payroll.
Human Resources Update
Federal Government Issues Revised I-9 Form - On November 7, 2007, the United States Citizenship and Immigration Services (USCIS) announced that a revised Employment Eligibility Verification Form (I-9) is now available. Effective immediately, the I-9 form dated June 5, 2007 is the only acceptable version. Please destroy all previous versions and begin using the revised form today. The form is available online at www.uscis.gov or you may call Human Resources at extension 8033 to request a copy.
Older versions of the I-9 form will only be accepted in Human Resources for a few days. The new form will then be required for all new hires and re-hired employees. These instructions primarily apply to supervisors/managers who hire adjunct, part time hourly, and work study employees. Full time employees come to Human Resources for an orientation and complete the I-9 form here in our office.
