Full-Time Payroll Deadline Changes

Please note the updated payroll due date schedule posted on the Valencia website at http://www.valenciacc.edu/hr/payroll.asp. Banner processing is taking longer than expected so the due dates had to be adjusted accordingly. The new schedule begins with the 12/28/07 payroll.  Thank you!


Human Resources Update

Federal Government Issues Revised I-9 Form - On November 7, 2007, the United States Citizenship and Immigration Services (USCIS) announced that a revised Employment Eligibility Verification Form (I-9) is now available.  Effective immediately, the I-9 form dated June 5, 2007 is the only acceptable version.  Please destroy all previous versions and begin using the revised form today.  The form is available online at www.uscis.gov or you may call Human Resources at extension 8033 to request a copy. 

Older versions of the I-9 form will only be accepted in Human Resources for a few days.  The new form will then be required for all new hires and re-hired employees.  These instructions primarily apply to supervisors/managers who hire adjunct, part time hourly, and work study employees.  Full time employees come to Human Resources for an orientation and complete the I-9 form here in our office.

Manager/Supervisor Training Program Application Process

College & Community Relations is pleased to announce that the pilot for the new Manager/Supervisor training program is almost complete. Applications are therefore now being accepted for the next training program. This program is aimed at existing managers and supervisors and focuses on developing a better understanding of individual strengths and behavioral tendencies, improving communications with those we interact with, creating a team-based approach to our work, developing strategies to engage in difficult conversations and understanding the role of a manager from a compliance and legal perspective. 

The program uses a cohort approach and encourages the sharing of experiences and knowledge within the group. Seven seminars comprise the program and are offered over the course of four sessions.  Each session runs from 8 a.m. to 5 p.m. and all sessions are held at the Criminal Justice Institute in room 135. The schedule and listing of topics is outlined below:

January 31, 2008

  • Seminar 1:  Focusing Our Vision for Effective Supervision
  • Seminar 2:  Spotting HR/Legal Issues (facilitated by Bill Mullowney)

February 28, 2008

  • Seminar 3:  Understanding Self and Others (Based on the DiSC profile)
  • Seminar 4:  Bringing Out the Best in Your Team

March 27, 2008

  • Seminar 5:  Feedback, Coaching and Talent Management
  • Seminar 6:  Dealing with Conflict and Engaging in Crucial Conversations

April 24, 2008

  • Seminar 7:  Sustaining Collaborative Workplaces
  • Program Wrap-up and Meeting with President Shugart

To participate, please review the following eligibility criteria:

  • Be employed by Valencia for at least one year.
  • Currently manage/supervise staff.
  • Provide two (2) letters of reference.
  • Obtain a written commitment for full participation in all four full day seminars from your supervisor.

The application deadline is January 12. Applications will be reviewed by a task force comprised of representatives from Staff and Organizational Development, Collegewide Career Staff Council, Professional Staff Leadership Team, and seminar facilitators. Recommendations will be forwarded to senior staff and the President for final approval.


News from Procurement

Departmental Copiers versus Copy Center - the Copier Refresh Program at the college replaces departmental copiers when needed. These copiers are designed for general office use with duplexing, stapling and hole punch capabilities. Life expectancy should be three years of good service if they are not over worked. They are NOT designed for mass production, assembly line type reproduction. Our main copy centers located on both East and West Campus provide excellent service with quick turn around time. The machines in the copy centers are high volume workflow, print shop quality running 105 print/copies per minute. All medium to large projects should be delivered or e-mailed to the Copy Centers. Both Copy Centers also have color copiers for your needs. The cost per page is .29 each.

Humidity and Copy Paper Do Not Mix - with the recent rainy, wet and long summer months, we have experienced more moisture than usual in our rooms. This affects copy paper used in printers and copiers. It creates paper jams and a lot of frustration for the user. Always be sure to store all copy paper in dry, clean areas.  Never open a ream of copy paper unless you plan to use the whole package. Partially open reams may cause moisture to curl its ends.

Cleaning Supplies and Custodial Service - cleaning supplies should not generally be ordered for your office as office materials and supplies. The college has a custodial department who is responsible for many cleaning tasks. According to Plant Operations, dusting around items on a desktop is the norm. They do not remove anything from a desk due to the possibility of damage. Desks are cleaned and polished if the occupant request it and personal items are removed prior to being cleaned. A can of disinfectant can be supplied upon request. Phones are sanitized each evening. Chalk/white boards are cleaned nightly. Staff should notify custodial supervisors of any cleaning supplies they may need.  They will be able to say if they can support their request or not.

How to save money in a budget crunch - there are many ways one can save money during this time of budget crunching.  Here are some suggestions:

  • Recycle all interoffice envelopes on both sides before requesting new ones to be ordered for special mailings.
  • Scan and e-mail documents instead of copying, printing and mailing (either interoffice mail or snail mail)
  • It is more cost efficient to send copy jobs to the copy center than to use your departmental copier for medium to large jobs.
  • When desktop printers or fax machines break down, don’t replace them. Use your Panasonic multifunctional unit to complete these tasks. You save on the equipment and toner cartridge.
  • Every office has a drawer full of pens and pads. Use these up first before buying new.
  • When attending a meeting or class on a different campus, try to car pool with someone else heading your way. Save gas and in-district travel reimbursements!

Holiday parties - ‘tis the season to be jolly, but remember that Fund One (operational money) strictly forbids expenses to be used for holiday decorations, holiday greeting cards, gifts, food, flowers, etc.  Please refer to the Fund Use Guidelines on the Procurement web-site for more detailed information.


On the Move

The West Campus Compliance Office has relocated to building 14, room 115 with a new mail code of 4-9. The phone number has not changed and is still ext. 1635.
