Human Resource News

All employees should immediately begin using Banner employee identification numbers, also known as VID numbers, on all forms and correspondence sent to Human Resources and Payroll. The old Oracle employee ID number is no longer valid. Banner ID numbers are printed on every pay check and/or direct deposit stub. Employees may also view their VID number by logging into Atlas and clicking the "Show VID" link.

Banner ID numbers are generated for new employees when they are hired and/or when they are entered into a class schedule as an instructor. Human Resources will e-mail the supervisor and provide the VID number for new employees when they are first set up in Banner. The supervisor should then make the new employee aware of his/her VID number.

News from Procurement

Account Codes - A list of account codes (formally called general ledger codes) and descriptions for what they should be used for can be found by going to the Valencia Web site and clicking on the Faculty & Staff tab, then under Employee Resources click on the Chart of Accounts.

Institutional Memberships - When paying for institutional memberships, using your P-Card or when creating a Banner requisition, be sure to use account 645020.

Office Depot Catalogs - The new 2007/2008 Office Depot catalogs are in! You can order your new catalog, free of charge, on your next office supply order by adding item number 337300.

Procurement Cardholders - Did you know that you have resources at your fingertips to conveniently check your P-Card's current available balance?

•  Calling the JPMorgan Chase Cardmember Service's "800" number found on the back of your credit card.

•  Running Payment's Cardholder Status report (step-by-step instructions for running this report can be found at the back of your manual.)

Give it a try; it's fast and easy!

News from Accounts Payable

Check requests are only used for employee advances and reimbursements, SPD reimbursements and student stipends. All other requests should be made using a Banner requisition or the P-Card. The check request requires a signature from the budget manager. The budget manager cannot be the same person as the requestor, nor can the requestor sign for the manager.

Airline purchases can be made with a P-Card. Prior approval from your supervisor/budget manager is necessary before booking a flight. All receipts must be attached to the Per Diem and Other than Local Mileage Voucher form.

For contract agreements to be paid, the contractor may submit an invoice referencing the purchase order number assigned to the contract. If the contractor cannot produce an invoice, Accounts Payable has created a Certification of Services template that may be used by the requestor and is posted on the Accounts Payable website at http://www. valenciaccedu/accountspayable/ forms.cfm. Please note that payment will be made to the contractor upon satisfactory completion of the services.

Updated forms are posted on the accounts payable website at http://www.valenciacc.edu/accounts payable/forms.cfm or under Valencia Forms.

Helpful BANNER Tip: To find out if a vendor has been paid, please use FAIVNDH, and query on the vendor invoice number. To find out if a purchase order has been created, please use FOIDOCH, and enter the requisition number.

Thank you

On Friday, July 13 my beloved mother passed away after battling with cancer since January, 2007. At times it was extremely difficult for me to maintain a balance between taking care of a seriously ill mother and meeting the demands of a competent workplace.

I had the opportunity to participate in the Circles of Belonging Diversity Training, (one day before my mother's demise), where I had learned Valencia Community College 's Platinum rule, "Treat others the way they want to be treated." I am truly blessed to have experienced at Valencia Community College , not only, the commonly used golden rule of "Do unto others as you would like others to do unto you but more important, also the platinum rule, "Treat others the way they want to be treated".

I would like to take this opportunity to thank you all and my colleagues and staff from the department of Social Sciences and Physical Education, and especially my Dean, for his kind support during these difficult times of my mother's illness. Thank you for the hugs e-mails and cards too. True, Valencia Community College is a place where "You will be treated as you want to be treated"! God Bless Valencia !

  - Yasmeen Qadri, education coordinator, Social Sciences & Physical Education, East
