News from Procurement
Paper requisitions should only be used to make a request for payment
and encumber funds for items that can not be requested on an Oracle
requisition. Specific items include employee reimbursements, SPD,
travel, or anything requiring a check.
If using SPD money, send your paper requisitions to the SPD office,
mail code 3-33, first. If traveling, the FA-33 Authorization for
Travel form must be attached with any pertinent travel related information.
Remember too, that it is important to use the correct general ledger
codes on all requisitions (paper and electronic) Procurement can
change an incorrect general ledger code on paper requisitions and
e-mail you of the change. However, if a budget transfer is necessary,
the requesting department must complete this action through the
budget office, prior to the requisition reaching the Accounts Payable
department.
Procurement recently renewed the temporary service contract initiated
by Human Resourses. The updated contract went into effect April
16, 2007. The contract may be extended for three additional one-year
periods. The agencies awarded are: AppleOne Employment, CareersUSA,
Corestaff, and Top Talent Staffing. If you are in need of temporary
services, please complete the Temporary Services Approval Form found
in Atlas.
According to Valencia Community College Policy 6Hx28:06-12, different
spending thresholds require different procedures:
- $3500-$24,999 require three written quotes
- $25, 0000-$250,000 require a formal Invitation to Bid (ITB)
or Request for Proposals (RFP), depending on the circumstances
and are solicited and advertised by the Procurement Department
for comparative bids. Award is approved by the Procurement Director
with concurrence from requesting department
- $250,000 + - Procurements exceeding this amount require the
District Board of Trustees approval.
Best business practice dictates written quotes for any goods/services
under the $25,000 threshold.
