News from Procurement

Procurement cardholders - every transaction that appears in PaymentNet under your account, including credits, needs to be reviewed with notes attached before each weekly download to Oracle. Doing so is a requirement of the Procurement Card program and it also verifies the accuracy of transactions. Documentation for the purchase should be forwarded to your assigned PCard coordinator within a few days of your purchase(s) to allow for timely approvals.

Vendor profiles and W-9 forms - Procurement enters suppliers in the supplier database that have completely and correctly filled out the vendor business profile and W-9 form. The W-9 form is an IRS requirement and must be signed by a representative of the company. Suppliers are entered based on their W-9 form information. The 'parent' company is the default company. Many 'parent' companies can have multiple 'daughters' or DBA's. Different sites will be set up under the parent company. Some examples are:

•  F&C Capozzoli, Inc DBA United Fire Protection
•  Florida Visual Display Products DBA Florida Chalkboard Co.
•  Demaria Holdings Inc. DBA Mark Products
•  DRII LLC DBA DA Sand Lake LLC
•  Daniel E. Harvey Inc DBA Last Stage Out of Town

Should you have any questions, please contact Procurement at ext. 5532.
