Hiring Freeze

A hiring freeze for new full-time employees will soon be in effect. To hire an employee before the freeze becomes effective, the employee must begin work on or before November 13, 2006. After that date, recruitment activities may be conducted through Human Resources department and offers of employment may be extended, however, the employee may not begin work until January 8, 2007.


Reminder for Full-time Career Service Evaluations

Many full-time career service evaluations have already been received in HR. Thanks to supervisors and employees who have taken the time to complete this state-mandated task.

If you have not sat down with your supervisor yet, suggest some accomplishments to include in your evaluation and your goals for the '06-'07 fiscal year.

Supervisors, if you haven't put your thoughts on paper yet concerning the employees you supervise, helpful suggestions are in the evaluation packet sent by e-mail on July 5. The evaluations must be in HR no later than September 29.

News From Procurement

It is always good business practice to obtain a written quote from a supplier for all purchases regardless of the price. This ensures pricing, including any shipping costs and the availability of the product. It is also documentation for any errors that may occur when invoiced.

Bidding Requirements:

$3,500-$24,999 -At least three quotations are required by fax, e-mail or written quote from the company on letterhead when goods or services are needed in this range. All quotes must be forwarded to Procurement for back-up documentation that will be attached to the purchase order file. If you would like for Procurement to solicit quotes on your behalf, we will be happy to do so. Please provide us with written specifications so that potential suppliers will understand specifically what you are looking to procure. The P-Card can NOT be used for goods or services requiring three quotes.

$25,000+ - A formal Invitation to Bid (ITB) or Request for Proposal (RFP), including advertising and public meetings, will be coordinated through the Procurement Office. The most advantageous supplier will be determined by the college for all goods/services under $250,000. For goods/services greater than $250,000, the award will be dependent upon Board approval.

College policy prohibits the use of multiple requisitions or P-Card transactions to circumvent the bidding process.

Exceptions to the three-bid requirement are:

•  Educational tests, textbooks, films, video tapes, graphic and computer-based instructional software

•  Library books, reference books and periodicals

•  Purchases at the unit or contract prices established through already completed competitive solicitations; use of state contracts or contracts piggybacked with other city, county or state institutions

•  Services or commodities available from a single source supplier. Justification for a single source is composed of two elements. A letter from the supplier explaining why there is no competition for their particular commodity (such as a franchise or copyright) and a written justification from the requesting department describing their need to buy only from this particular supplier (such as compatibility with existing equipment or efficiencies in standardization of materials or equipment)

•  Professional services including artistic services, instructional services, health services, academic program reviews, lectures by individuals, attorneys, legal services, auditors and management consultants

•  Information technology resources

•  Items for resale

Second Annual Valencia School Supply Drive to Support "A Gift for Teaching"

The Collegewide Campus Staff Council, in conjunction with SGA, Student Development, Valencia Volunteers, Faculty Association, Alumni Association, AAWCC, FACC, and Professional Staff Council, are sponsoring the second annual Valencia School Supply Drive to assist local teachers in Orange, Osceola and Seminole counties by providing items they need the most. These items will be available for teachers through the free store sponsored by A Gift for Teaching.

A typical teachers' wish list includes:

Basic supplies that students use every day: Pencils, crayons, paper, books, pens, backpacks, erasers, glue, rulers, markers, notebooks, paints, pencil boxes.

Non-Traditional materials: Magazines, bulk paper, labels, office supplies (new and used), promotional items, Styrofoam, cardboard tubes, toys, craft and art supplies.

Clothing Items: NEW socks, underwear, shirts, shorts, and slacks.

The four most requested items:

  • 10-pack #2 Pencils
  • 16-pack Crayons
  • 4-oz. Glue Sticks
  • 100-count Lined Paper

Present your Valencia ID , and the Valencia Bookstore will offer a 20% discount on these four items during the supply drive.

The AGFT Supply Drive will continue through September 30. Please look for collection boxes on your campus.


The Osceola and West Campuses are Looking for Tutors!

The Learning Center at Osceola Campus and the West Campus Tutoring Center are in need of tutors. Osceola Campus needs tutors in ALL subject areas and the West Campus Tutoring Center is in need of tutors for all subject areas except math.

Leadership Valencia Offerings

The Oxford Round Table Experience - Learn about major issues in contemporary bilingual educational policy and second language teaching methodology that were discussed at the 2006 Oxford Round Table. Tuesday, September 12, 1-2 p.m., West Campus, 6-202, registration code: LORT.

Oracle 11i for Beginners (two-day session) - This class is for any staff member who will be responsible for entering requisitions into the Oracle financial software system.  Instruction will be given on how to check your budget and run reports.  Directors and budget managers are encouraged to participate in this two-day workshop.  Thursday and Friday, September 14 and 15, 8:30 a.m.-4 p.m., Winter Park Campus, Rm. 219, registration code: TOR1.
