Important Year-End Reminder from Financial Services
As we approach the end of the 2005/06 fiscal year, the Financial Services
department would like to assist you to best utilize your remaining
budget funds. While financial processes cannot stop because of fiscal
year end, there are some required cut-off dates that must be enforced
due to Florida Department of Education (DOE) requirements and audit
guidelines. In order to have a smooth transition between the closing
of the 2005/06 fiscal year, and the opening of the 2006/07 fiscal
year, it is important that we adhere to the following timeline:
Cash Receipts - All money received that should be credited
to the 2005/06 fiscal year must be turned into any Business Office
location by 12:30 p.m., Friday, June 30.
Vendor Invoices - Goods and services must be received by June
30 and invoices must be received by the Accounts Payable
department no later then July 7 for the expenditure
to be charged to your 2005/06 budget. Please forward all invoices
immediately to Accounts Payable, mail code DTC-3, for processing.
When ordering goods or services, please allow sufficient time for
goods and services to be received and invoiced by June 30. This is
especially critical for grants with a June 30 closing date.
Budget Amendments - Submit completed budget amendment forms
to the Budget Office at mail code DTC-3. Please address related questions
to Pedro Rivera at extension 3350 or Sherri Dixon at extension 3306.
Purchase Orders - Financial Services recommends that you run the
Oracle VCC Encumbrance Detail Report for your department to determine
the status of all purchase orders showing an encumbered amount and
cancel any outstanding items not needed. Contact the Procurement Office,
extension 5532, should you have any questions in reference to general
operating fund 1 purchase orders and Sherri Dixon, extension 3306,
for grant-related purchase orders.
You may begin entering Oracle requisitions for fiscal year 2006/07
on Monday, July 3. Petty Cash - The last day to request
reimbursement from the Business Office is Friday, June 23.
Please do not accumulate numerous petty cash receipts, since reimbursements
are limited to $75 per day. Petty cash processing for fiscal year
2006/07 will resume on Monday, July 3. Travel Reimbursement
- Requests for travel reimbursement must be received in Accounts Payable,
mail code DTC-3, by Friday, June 23. Requests received
after this date will be charged to the 2006/07 fiscal year budgets.
Travel occurring June 26-30 will be handled on an exception-only basis.
Personnel Pay Forms - Time sheets for part-time hourly
and student employees for hours worked the period of June 25-30 are
due in Payroll Services no later than Monday, July 3.
Time sheets received after this date will be charged to the 2006/07
fiscal year budgets.
Procurement Cards - Funds that have been encumbered for procurement
card expenditures will be released on June 29. The July 5
procurement card download will include all transactions that have
posted by June 30 and will be charged to your 2005/06 fiscal year
budget. Procurement card transactions not posted until July 1 will
be charged to the 2006/07 budget year. A
Note from Dr. Stan Stone
I am sure everyone remembers the payroll realignment issue that we
dealt with during this past year (see the payroll realignment document
at http://valenciacc.
edu/hr/payrollchange.asp). As we discussed last year, we needed to
develop a solution that would prevent this situation from happening
in the future.
A representative committee was formed to study the issue and develop
a plan for future years. This plan was presented to the executive
council and approved. It was decided that the college will continue
to process payroll on a bi-weekly basis. While there are some technical
changes required to prevent the situation we faced last year, you
will continue to receive you paycheck every other Friday.The payroll

Atlas For Staff Training - Many of the college's services,
forms, and announcements are now occurring in Atlas. If you forgot
how to use Atlas, forgot your PIN, and how to log on or just need
a refresher, attend one of these refresher sessions. Listed are multiple

Successful Living: Five Simple Steps to Achieving Everything You
Want in Life - Learn how to create amazing changes in your life
through a simple 5-step process. Professional Life Coach Jeanne Hennings
will provide you with the tools you need to transform your life, beyond
which you thought was possible. During this 3-hour workshop, you will:
clearly define what is important to you and write down specifically
what you want to achieve, design an action plan customized to your
situation and unique needs, divide the action plan into workable pieces
that are realistic, and set you up for success. Learn how to defeat
the dream stealers and make a conscious decision to commit to your
goal, follow-through with your action plan and learn effective techniques

Home Fire Safety - This workshop is designed to help identify
and eliminate common household fire hazards. Some of the topics that
will be covered are preparation and training for household fires and
emergencies, using the EDITH program, identifying different types
of fires, and proper use of fire extinguishers. Friday, June 9, 9

Human Resources and Diversity Question and Answer Session -
The purpose of this workshop is to host a conversation of Human Resources
and Diversity related topics. Questions need to be submitted via e-mail
to Dannette Johnson, dajohnson@valenciacc.edu. The questions submitted
will be answered during Question and Answer Session. Participants
must arrive 30 minutes prior to the session to allow enough time for
registration. The session will start on time, and will be presented

Identity Theft: What You Can Do to Protect Your ID - As of
April 2003, 11.8 million Americans have been victims of identity theft.
If you do not own a shredder in your home or place of work; if you
still carry your social security card in your wallet; if you do not
check merchant copies of your debit/credit card receipts; if you still
use the mailbox red flag; then you will want to attend this session.

Principles and Qualities of Genuine Leadership, Manager's Version
- More than ever everyone in an organization needs a deep knowledge
of leadership best practices and help in tailoring those practices
to their own situations. To meet this need this workshop outlines
the universal leadership principles and qualities that help individuals
become genuine leaders that can translate intentions into reality.
The goal of this workshop is to help participants achieve results
for their organization by applying the principles and developing the
qualities of genuine leadership and applying them to their role as

Florida Retirement System (FRS) and the Deferred Retirement Option
Program (DROP) - This first workshop provides an in-depth look
at the FRS and DROP programs. Some of the topics will include your
options under each one as well as how your retirement benefit is calculated
and how your DROP money accumulates. The benefits that Valencia allow
their retirees to continue will be discussed and the tax implications

Mail Services provides the latest mail codes, delivery times and contact
information on the Procurement Web site. Please utilize this Web site

When departmental changes are made, notify your campus mail room so
we can always provide you with a current list of departmental mail
codes.
Mail Services is requesting extra inter-office envelopes to be recycled
back to the mail room. Please bundle the envelopes with a rubber band
and place in your out going mail. Thanks for your help.
Osceola and West Campus Are Looking for Tutors!
The Learning Center at Osceola Campus and the West Campus Tutoring
Center are in desperate need of tutors. Osceola Campus needs tutors
in ALL subject areas and the West Campus Tutoring Center is in need
of tutors for all subject areas except math. For additional information
on Osceola Campus, located in building 3, room 100, please contact

Farewell and best wishes to Director of Student Success Mary
Pepe, and a warm welcome to her interim replacement, Professor
Mary Allen. The collegewide Student Success office is located on East

Please note the last issue of the Bulletin incorrectly reported that
Corine Shaw was a new employee. She has retired from
the college, effective April 28.
Career Makeover–East Campus, Career Coach–Enid
Rosa, Student–Andy Ebanks
Andy Ebanks has the job skills to service and repair a large fleet
of club cars, tractors and lawn equipment. Fortunately, as a Valencia
Community College employee, he can expand on his education while working
full-time as a small engine mechanic. He plans to complete his A.S.
Degree in Business Management this summer.
He is currently attending a Job Search class (SLS 1303) designed to
prepare students to seek employment in their chosen profession. To
help Andy, Job Search class instructor, Vertrilla Hunt, referred him
to East Campus Career Development Services for a one-on-one career
makeover with Career Coach Enid Rosa. He was selected based on his
enthusiasm to learn more about the options beyond his current work
life. “I thoroughly enjoy working with cars, trucks and
small engine machinery of all types,” he states. He recognizes
his work experiences are an asset for an effective manager or quality
control specialist. “I would leave this job only for advancement
opportunities within the trade.” He captured a vision and formed
a future plan when he confidently said, “I’d much rather
work for myself as an independent business owner.”
Nothing should hold him back from achieving those career goals once
he completes his A.S. degree. He has researched a variety of career
profiles in his field in an effort to identify a few occupations that
appeal to him. Although he says a bachelor’s degree may be necessary
to secure work as a national or international corporate fleet director,
it is not required in the position of fleet manager.
His supervisor may not really know Andy’s assets until Andy
can articulate how to apply them in a problem-solving situation. It
is recommended that he start actively networking and investigating
his present job. This is done through informal “informational
interviews” that would let Andy gather information and develop
rapport with the supervisor. For more career information visit www.facts.org

Career Development Services’ main interest is in helping students
figure out what can be improved in order to discover available options
and work they will love. Aggressive networking and researching is
essential, instead of assuming to know what a job is like. It always
takes effort and time to establish connections before getting down
to business. Career Development Services offers access to a variety
of career research information and assessments, up-to-date labor market
information, and job preparation activities to students on a walk-in
basis.
Valencia is always looking for individuals who have a passion to mentor
students to teach the Job Search course. If you are interested in
becoming a classroom or online Job Search instructor, or would like
more information about the course and how you can be involved, please
