News from Procurement

Procurement encourages departments to submit quotes with their requisitions. This gives you, the user, a good idea of the cost of the goods or service and it gives Procurement a benchmark from which to work to finalize the purchase. This may or may not end up being the "official" quote. If the submitted quote is not utilized as the official quote (the one that we use), then Procurement will solicit additional quotes. If you choose for whatever reason not to submit a quote with your requisition, Procurement will get them for you.

Purchasing objectives are to acquire materials and services of the right quality, in the right quantity, at the right price, at the right time, from the right source. What has changed is the definition of "right." The old definition of right price was the lowest unit price on the purchase order. The new definition or right price is the lowest total cost of ownership. "Right quality" has moved from maintaining consistency of quality to an expectation of zero defects from suppliers. "Right quantity" has changed from a traditional economic order quantity to increased frequency of delivery by improving the transportation and planning processes. "Right time" still stresses continuity of supply under both viewpoints. "Right source" has changed from developing alternate sources of supply to promoting a competitive atmosphere in performance and pricing and to develop strategic alliances with a reduced set of suppliers that are mutually beneficial.
The overriding objective is to develop purchasing strategies and policies that facilitate and support the achievement of the college's mission and objectives.

If you have questions on any of these criteria, please call us at ext. 5532.

On another note, stamping or writing envelopes with the department's mail code, like the example displayed below, helps Mail Services to distribute letters back to the sender whenever they are returned by the U.S. Postal Services because of a new, incorrect or undeliverable address. It also prevents Mail Services from opening the correspondence looking for a name/department to return the mail to.
